Problem

The project faced several key challenges that needed to be addressed to improve both user experience and design scalability.

Inconsistent UX/UI across the product

  • disjointed styling and layouts due to a lack of uniform design standards

  • confusing feature names, leading to unclear navigation and reduced usability

  • multi-column layout limiting adaptability and clear content communication

Key user flows lacked clarity and simplicity

  • the 'Navigator', 'Vault', and 'Onboarding' features were challenging to navigate and disrupted user flow

  • important actions, like filtering and profile management, weren’t intuitive, adding friction to the user journey

  • onboarding was confusing and disconnected, leaving new users overwhelmed

Limited systemization and design process scalability

  • absence of a structured design system, leading to inconsistencies and inefficiencies

  • a lack of standardized design processes complicated collaboration between teams

  • insufficient integration between design and development phases, reducing overall workflow cohesion


Objectives

To address these challenges, we focused on three key objectives:

Establish a consistent and scalable UX/UI foundation

  • create uniform styling, layouts, and content structures for a cohesive experience

  • simplify the multi-column layout and adjust feature names for better clarity

  • lay the groundwork for a scalable design system to support future growth

Enhance key user flows for improved usability

  • refine the 'Navigator', 'Vault', and 'Onboarding' features to make navigation intuitive

  • simplify interactions and reduce unnecessary steps for smoother user journeys

  • implement a more accessible onboarding process to boost user engagement

Introduce a systematic approach to design and collaboration

  • set up a centralized Figma workspace for clear and efficient collaboration

  • standardize design components that align with development practices

  • promote a systems-based approach with consistent naming and repeatable processes


Process

Understanding

As always, everything starts with gaining a complete understanding of the problem, current situation, expectations, goals, obstacles, and overall context.

  • we discussed the challenges and priorities to get aligned on the key areas to address

  • reviewed the existing UI, layout, and critical user flows to pinpoint major pain points

  • proposed solutions that align with both practical development constraints and improving usability

Planning, strategy

With time and budget constraints in mind, we focused on impactful improvements while setting up a foundation for long-term growth:

  • proposed two paths forward: a full product overhaul versus a targeted, phased approach—we chose the latter due to the immediate needs and priorities

  • collaborated with the development team to refine our approach and agree on priorities

  • developed a roadmap focusing on quick wins, followed by building out a scalable design framework

Execution

The focus was on auditing, refining, and proposing key improvements while laying the groundwork for future scalability:

  • conducted a UX/UI audit and mapped critical product flows to create a clearer picture of the product’s structure

  • proposed design solutions for naming, flows, and layout consistency, going beyond the client’s request to show potential impact

  • designed product improvements with minimal back-and-forth adjustments from the client

  • established a design system with initial components and proposed in-house design process improvements, including setting up a Figma team workspace for better collaboration and scalability
